How to format a CSV for QuickBooks Online

  1. Drop your bank's CSV or Excel file into the formatter The file is read in your browser. Bank names and account summaries above the table are skipped.
  2. Check the columns Make sure the date, description and amount (or money out and money in) columns are right. For a credit card file that lists purchases as positive numbers, turn on Flip signs.
  3. Review the transactions Fix or delete rows, and limit the dates if the file has more than 1,000 transactions.
  4. Choose the layout and date format Keep 3 columns (Date, Description, Amount) unless you need Credit and Debit columns. Pick the date format you will choose in QuickBooks.
  5. Download the QuickBooks Online CSV Click Download QuickBooks Online CSV file, then upload it in QuickBooks Online.

How to upload the CSV to QuickBooks Online

These steps follow Intuit's current help pages for manual uploads.

QuickBooks Online

  1. Open Bank transactions Choose All apps › Accounting › Bank transactions. Older menus start at Banking or Transactions.
  2. Choose Upload from file Select the account's tile if you see one, open Link account and choose Upload from file.
  3. Pick the file and the account Select the CSV file and click Continue. Choose the account in the QuickBooks account list (the credit card account for a card file) and click Continue.
  4. Match the columns Match Date, Description and Amount to the file and choose the date format the file uses. For the 4-column layout, choose Two columns when QuickBooks asks how many columns show amounts: Credit holds money out and Debit holds money in.
  5. Import Select the transactions to import, click Continue, then Yes and Done.

Intuit's limits for one upload: 350 KB per file and up to 1,000 lines. If amounts come in with the wrong sign, Intuit's upload video shows a reverse all values option on the review screen.

The QuickBooks Online CSV format

QuickBooks Online’s Upload from file option reads a CSV in one of two layouts from Intuit’s help pages. The 3-column layout has one signed amount:

The 4-column layout follows Intuit’s own example, where a payment (money out) sits in Credit, a deposit (money in) sits in Debit, both are positive, and the other cell stays empty:

Credit and Debit here follow the accounting view of your bank account, the reverse of many bank statements. If that’s confusing, keep the 3-column layout.

What the formatter fixes

Intuit’s help lists what a bank CSV needs before QuickBooks Online accepts it. The formatter does each step for you:

  • Only the columns QuickBooks needs. Balance, type, category and other extra columns are left out.
  • Plain amounts. No currency symbols and no thousands separators: $1,234.50 becomes 1234.50, and money out gets a minus sign.
  • No zero amounts. Intuit asks for blank cells instead of 0, so transactions of 0.00 are left out.
  • One date format for every row: MM/DD/YYYY, DD/MM/YYYY or YYYY-MM-DD.
  • Clean descriptions. Accents are removed, because uploads must be in English. Characters Intuit lists as stopping an upload, such as #, &, commas and periods, become spaces (you can turn this off).
  • No blank lines. The bank’s summary rows, such as opening balances and totals, are skipped too.
  • Windows line endings, which is the CSV format Intuit asks Mac users to save in.

It also checks Intuit’s limits before you download: up to 1,000 lines per upload, and no amount with 12 or more digits.

When to use a QBO file instead

Intuit’s help suggests QBO files for QuickBooks Online uploads, and QuickBooks Desktop imports bank files only as QBO (Web Connect). If you might use either version of QuickBooks, choose QBO before you download. A QBO file also carries a bank ID, the account type and a unique ID for every transaction. The converter finds the header row (even below bank names and account summaries), matches columns by name and by content, and handles one signed amount column, separate debit and credit columns, or an amount with a DR/CR column. Dates like 01/05/2026, 2026-01-05 and Jan 5, 2026 and amounts like (1,234.56) or 1234.56- are all read.

Each layout was checked against the bank's own help pages or real sample files. If your bank changes its layout, the converter still reads the file by its column names.

Common problems and fixes

"The uploaded file contains invalid transaction amount information."
Intuit says this means a transaction has an amount with 12 or more digits. The formatter flags such amounts before you download. Delete the transaction in the table, upload the file, and enter that transaction in QuickBooks by hand.
"Some info may be missing from your file."
Intuit's moderators list the usual causes: a file over 350 KB, blank lines, commas in amounts, zeros, special characters, or headers that don't match. The formatter's file avoids these; for a large file, limit the dates and download it in parts.
"The uploaded file is of a different type than these accounts."
You picked an account of another type than the file, such as a savings file for a checking account. Intuit says to click Cancel and choose the right account, or OK to continue anyway.
Dates show as 01/01/1970 after the upload
QuickBooks couldn't read the dates. Exclude those transactions in QuickBooks, then upload the file again and choose the same date format at the mapping step as the one you picked in the formatter.
Amounts come in with the wrong sign
In the file, money out is negative. For a credit card, purchases should be negative and payments positive: turn on Flip signs if your bank lists purchases as positive numbers, and upload into the credit card account. Intuit's upload video also shows a reverse all values option on the review screen.
A 4-column file with only money out fails to upload
Intuit's workaround is to add one line with a positive amount and untick it on the review screen. The 3-column layout avoids the problem.
"We were unable to upload the file. Please start over and re-select the file you want to upload."
Intuit says the upload timed out. Wait a few minutes and try again. Intuit also says to check that you aren't uploading into a subaccount.

What CSV format does QuickBooks Online accept for bank uploads?

Why does QuickBooks Online reject my bank's CSV?

Which date format should I use?

One format for every row, and the same one you choose at QuickBooks' mapping step. Intuit's guide recommends dd/mm/yyyy; a QuickBooks team member listed MM/dd/yyyy, dd/MM/yyyy and yyyy-MM-dd among the accepted formats. The formatter writes MM/DD/YYYY by default and lets you pick another.

Should I upload a CSV or a QBO file?

Intuit's help suggests a QBO file for uploads, and QuickBooks Online accepts CSV too. To make a QBO file instead, choose QBO before you download, or use the CSV to QBO converter.

How many transactions can I upload at once?

Intuit allows up to 1,000 lines per upload and files up to 350 KB. For a bigger file, set the date filter and download one date range at a time.

Does it work for credit card accounts?

Yes. Purchases are written as negative amounts and payments as positive ones. Choose the credit card account (not a bank account) when you upload, as Intuit's guide says.

Can I edit the file in Excel before uploading?

Yes, but save it as CSV again and check that every date still uses one format.
