How to import CSV to QuickBooks Online

To import CSV to QuickBooks Online, open Bank transactions, choose Link account › Upload from file, pick the file and match its columns. The file needs a Date, Description and Amount column (or Credit and Debit columns); the formatter below turns your bank's CSV into that layout first.

Before you start

  • Know which account the file is for. Choose the matching account in QuickBooks when you upload. A credit card file goes into the credit card account, not a bank account.
  • Check the dates you need. Intuit’s help says the file should start at least one day before the oldest transaction already in that QuickBooks account. If the account is connected to your bank, files that overlap the bank feed are a common cause of duplicates; start the file after the newest transaction already in QuickBooks.
  • Mind the limits. One upload can have up to 1,000 lines, and the file must be 350 KB or less. An amount with 12 or more digits can’t be uploaded.
  • English only. Intuit says the upload file must be in English.

Step 1: Download the CSV from your bank

Sign in to your bank’s website, open the account’s transactions, and look for a download or export option with CSV (sometimes called “spreadsheet” or “comma delimited”). Choose the date range you need. The guide to downloading a CSV from your bank has the official steps for the banks that publish them.

Banks lay out their CSV files differently, and Intuit notes that some banks’ files won’t import as they are. If your bank also offers a QBO file (often labelled for QuickBooks or Web Connect), Intuit’s help suggests that format for uploads.

Step 2: Put the CSV in QuickBooks’ layout

QuickBooks Online reads two layouts from Intuit’s help pages. The 3-column layout looks like this:

The 4-column layout follows Intuit’s example: money out in Credit and money in in Debit, each as a positive number, with the other cell left blank. Intuit’s guide also asks you to:

  • delete every other column (balance, type, category, reference);
  • write amounts without currency symbols or thousands separators;
  • leave a cell blank instead of writing 0;
  • use one date format for every row;
  • remove special characters such as #, &, commas and periods from descriptions;
  • delete blank lines;
  • on a Mac, save the file as a Windows CSV.

Remove the bank’s summary rows too, such as opening balances and totals: they aren’t transactions.

The formatter at the top of this page does all of this. Drop in the bank’s CSV or Excel file, check the columns and transactions, keep QuickBooks Online CSV as the output, and download. It also warns you about files over 1,000 transactions and amounts QuickBooks would reject.

Step 3: Upload the file

  1. In QuickBooks Online, choose All apps › Accounting › Bank transactions. Older menus start at Banking or Transactions › Bank transactions.
  2. If you see a tile for the account, select it. Open the Link account menu and choose Upload from file.
  3. Click Drag and drop or select files, choose the CSV and click Continue.
  4. In the QuickBooks account list, choose the account the transactions belong to (or add a new one), then click Continue.

Step 4: Match the columns and the date format

QuickBooks asks which column in your file holds each field. Match Date, Description and Amount. For a 4-column file, choose Two columns when QuickBooks asks how many columns show amounts, then match Credit and Debit. Choose the date format your file uses; it must be the same for every row. If QuickBooks can’t read a date, a QuickBooks team member says the transaction shows as 01/01/1970, so check a few dates on the next screen.

Step 5: Review, import and categorize

Select the transactions to import and click Continue, then Yes and Done. If every amount came in with the wrong sign, Intuit’s upload video shows a reverse all values option on this screen. The transactions then wait in Bank transactions, where you match or categorize them and later reconcile the account. Bank rules you set up before the upload are applied as the transactions come in.

Fixing upload errors

“We were unable to upload the file. Please start over and re-select the file you want to upload.”The upload timed out. Wait a few minutes and try again. Intuit also says to check that you aren’t uploading into a subaccount.

More messages and fixes are on the QuickBooks Online CSV formatter page. If a 4-column file with only money out fails, Intuit’s workaround is to add one positive line and untick it on the review screen; the 3-column layout avoids the problem.

Credit card files

Card statements often list purchases as positive numbers and payments as negative ones, the reverse of what a 3-column upload expects. Turn on Flip signs in the formatter so purchases are negative, and choose the credit card account in QuickBooks, as Intuit’s guide says. A $50 purchase should show as −50.00 before you download.

Why did my transactions come in with the wrong sign?

Money out must be negative in a 3-column file. Card files often list purchases as positive numbers; turn on Flip signs in the formatter, or use the reverse option on QuickBooks' review screen.

Is my bank file uploaded to this site?

No. The formatter runs in your browser; only QuickBooks receives the file, when you upload it there.
