How to convert a PayPal CSV to QBO

  1. Download your PayPal activity as CSV In PayPal, open Activity, select the Download icon, choose Custom and the activity download, then pick the dates and CSV.
  2. Drop the file into the converter The converter recognizes PayPal's columns, even when you added or removed optional ones, and shows "PayPal activity" next to the file.
  3. Check the transactions Each line uses the Net amount (after PayPal's fee) and PayPal's transaction ID. Lines marked Memo under Balance Impact, such as holds, are left out and listed under skipped rows.
  4. Choose QBO and the bank PayPal isn't in Intuit's bank lists, so keep the widely compatible option and import into your PayPal account in QuickBooks.
  5. Download the QBO file Click Download QBO file and import it. The steps appear right after the download.

How to import the QBO file into QuickBooks

These steps follow Intuit's current help pages. Back up your company file first; Intuit notes that an import can't be undone.

QuickBooks Desktop for Windows

  1. Sign in to your Intuit account Intuit requires you to be signed in inside QuickBooks Desktop to import .qbo files.
  2. Open the import Choose Banking › Bank Feeds › Import Web Connect Files, select the .qbo file and click Open.
  3. Choose the account Choose Use an existing account if the account is already in QuickBooks, or Create a new QuickBooks account. Click Continue, then OK.
  4. Add the transactions Review them in the Bank Feeds Center and add them.

If the import fails, Intuit's fixes include switching to Classic Mode: Banking › Bank Feeds › Change Bank Feeds Mode.

QuickBooks Desktop for Mac

  1. Open the import Choose Banking › Downloaded Transactions › Import File.
  2. Pick the file Select the .qbo file.
  3. Choose the account If QuickBooks asks, pick the matching account under Store in the QuickBooks Account, then click Continue and OK.

QuickBooks Online

  1. Open Bank transactions Choose All apps › Accounting › Bank transactions. Older menus start at Banking or Transactions.
  2. Choose Upload from file Select the account's tile if you see one, open Link account and choose Upload from file.
  3. Pick the file and the account Select the .qbo file and click Continue. Choose the account in the QuickBooks account list and click Continue.
  4. Import Select the transactions to import, click Continue, then Yes and Done.

Intuit's limits for one upload: 350 KB per file and up to 1,000 lines.

Downloading your PayPal activity

PayPal’s help describes the download like this: go to Activity, select the Download icon, choose Custom, choose the activity download report, follow the prompts for the date range and the CSV format, and select Download when the file is ready. PayPal notes that large reports can take a while to prepare.

PayPal’s CSV columns

PayPal’s documentation lists the columns of the activity download. Some are always included and some you can turn on or off:

Because you can change the optional columns, the converter recognizes a PayPal file by the columns PayPal always includes (Date, Time, TimeZone, Name, Type, Status, Currency, Gross, Fee, Net and Transaction ID), not by the whole header row.

PayPal in QuickBooks

PayPal isn’t a bank in Intuit’s bank lists, so the QBO file uses the widely compatible bank ID. Import it into the account you keep for PayPal in QuickBooks; when you move money from PayPal to your bank, that line shows as money out of PayPal.

The converter finds the header row (even below bank names and account summaries), matches columns by name and by content, and handles one signed amount column, separate debit and credit columns, or an amount with a DR/CR column. Each layout was checked against the bank's own help pages or real sample files. If your bank changes its layout, the converter still reads the file by its column names.

Common problems and fixes

Some PayPal lines are missing
Lines whose Balance Impact is Memo (for example authorizations and holds) don't change your PayPal balance, so they are left out. Show skipped rows lists them.
A line has no name
PayPal leaves Name empty on some lines, such as withdrawals to your bank. The converter uses PayPal's transaction type (for example "General Withdrawal") as the description.
The file has more than one currency
The converter reads amounts as they are and doesn't convert currencies. If your PayPal file mixes currencies, check the Currency column in the CSV and remove the lines in other currencies first.
The dates are day first
PayPal writes dates in your account's country format. US accounts use MM/DD/YYYY; for others, choose the date order when the converter asks.

How do I convert a PayPal CSV to QBO?

Why does the converter use the Net amount?

Net is what actually moved in your PayPal balance after fees, so the QBO file matches your balance. The Gross and Fee columns stay in your CSV if you need them.

Does PayPal offer QuickBooks files itself?

PayPal's help lists Quicken and QuickBooks formats among its download options, as well as CSV. Use PayPal's file if it works for you; convert the CSV when you want to check and edit the lines first.

How much history can I download?

PayPal's developer documentation says activity downloads go back up to seven years, with up to 12 months per report and up to 50,000 lines per CSV file.

Are PayPal's transaction IDs kept?

Yes. Each line's PayPal transaction ID becomes its ID in the QBO file, so QuickBooks can skip lines it has already imported.

Is my PayPal file uploaded?

No. It is read and converted in your browser and never leaves your computer.
