How to convert Excel to QBO

  1. Get the Excel file Download your transactions from your bank as Excel, or use a spreadsheet you keep yourself. It needs at least a date, a description and an amount column.
  2. Drop it into the converter Choose the .xlsx or .xls file or drag it onto the box above. The converter picks the first sheet that has transactions; you can switch sheets.
  3. Check the columns Make sure the date, description and amount (or money out and money in) columns are right. Title rows above the table are skipped automatically.
  4. Review the transactions Fix or delete any row. Totals of money in and money out are shown above the table.
  5. Choose QBO, your bank and the account type Pick the bank shown in QuickBooks and whether this is a checking, savings or credit card account.
  6. Download the QBO file Click Download QBO file, then import it into QuickBooks.

How to import the QBO file into QuickBooks

These steps follow Intuit's current help pages. Back up your company file first; Intuit notes that an import can't be undone.

QuickBooks Desktop for Windows

  1. Sign in to your Intuit account Intuit requires you to be signed in inside QuickBooks Desktop to import .qbo files.
  2. Open the import Choose Banking › Bank Feeds › Import Web Connect Files, select the .qbo file and click Open.
  3. Choose the account Choose Use an existing account if the account is already in QuickBooks, or Create a new QuickBooks account. Click Continue, then OK.
  4. Add the transactions Review them in the Bank Feeds Center and add them.

If the import fails, Intuit's fixes include switching to Classic Mode: Banking › Bank Feeds › Change Bank Feeds Mode.

QuickBooks Desktop for Mac

  1. Open the import Choose Banking › Downloaded Transactions › Import File.
  2. Pick the file Select the .qbo file.
  3. Choose the account If QuickBooks asks, pick the matching account under Store in the QuickBooks Account, then click Continue and OK.

QuickBooks Online

  1. Open Bank transactions Choose All apps › Accounting › Bank transactions. Older menus start at Banking or Transactions.
  2. Choose Upload from file Select the account's tile if you see one, open Link account and choose Upload from file.
  3. Pick the file and the account Select the .qbo file and click Continue. Choose the account in the QuickBooks account list and click Continue.
  4. Import Select the transactions to import, click Continue, then Yes and Done.

Intuit's limits for one upload: 350 KB per file and up to 1,000 lines.

Why convert Excel to QBO

Some banks offer downloads only as Excel files, and many bookkeepers keep transactions in a spreadsheet. QuickBooks Web Connect, the way QuickBooks Desktop imports bank downloads, reads QBO files. An Excel to QBO converter bridges the gap: it reads the sheet, adds the account details and transaction IDs QuickBooks needs, and writes a QBO file.

What the converter reads in a workbook

  • Real date cells and Excel date numbers, plus dates typed as text (01/05/2026, 2026-01-05, Jan 5, 2026).
  • Number cells and amounts typed as text, including $1,234.56, (1,234.56) and 1234.56-.
  • Title rows, bank names and blank rows above the table, which are skipped.
  • More than one sheet: you choose which one to convert.

Each layout was checked against the bank's own help pages or real sample files. If your bank changes its layout, the converter still reads the file by its column names.

Common problems and fixes

The converter shows the wrong sheet
Choose the right sheet in the Sheet box above the columns. The converter starts with the first sheet that has at least two rows of data.
Dates show up as numbers like 46027
That is how Excel stores dates. The converter reads date cells and Excel date numbers as real dates, so they come out right in the QBO file.
The file is protected with a password
The converter can't open password-protected workbooks. Open the file in Excel, remove the password (File › Info › Protect Workbook), save it, and try again. Or save the sheet as CSV.
Totals or a balance column appear as transactions
The converter skips rows such as "Total" and "Ending balance" and ignores a running balance column. If a summary row slips through, delete it in the table.
Amounts have the wrong sign
If purchases are positive numbers (common for credit cards), turn on Flip signs. If your sheet has separate debit and credit columns, choose Money out + money in under Amounts.
