How to remove duplicate transactions

  1. Drop your files Add one file or several. QBO, QFX, OFX and QIF files work, and so do bank CSV and Excel files whose columns can be matched automatically.
  2. Review the groups Transactions with the same date, amount and description are grouped. Copies that came from a second file are ticked for removal; copies inside the same file are left for you to decide.
  3. Tick what to remove The first copy in each group is always kept.
  4. Download the clean file Choose the format and download.

How to import the clean QBO file into QuickBooks

These steps follow Intuit's current help pages. Back up your company file first; Intuit notes that an import can't be undone.

QuickBooks Desktop for Windows

  1. Sign in to your Intuit account Intuit requires you to be signed in inside QuickBooks Desktop to import .qbo files.
  2. Open the import Choose Banking › Bank Feeds › Import Web Connect Files, select the .qbo file and click Open.
  3. Choose the account Choose Use an existing account if the account is already in QuickBooks, or Create a new QuickBooks account. Click Continue, then OK.
  4. Add the transactions Review them in the Bank Feeds Center and add them.

If the import fails, Intuit's fixes include switching to Classic Mode: Banking › Bank Feeds › Change Bank Feeds Mode.

QuickBooks Desktop for Mac

  1. Open the import Choose Banking › Downloaded Transactions › Import File.
  2. Pick the file Select the .qbo file.
  3. Choose the account If QuickBooks asks, pick the matching account under Store in the QuickBooks Account, then click Continue and OK.

QuickBooks Online

  1. Open Bank transactions Choose All apps › Accounting › Bank transactions. Older menus start at Banking or Transactions.
  2. Choose Upload from file Select the account's tile if you see one, open Link account and choose Upload from file.
  3. Pick the file and the account Select the .qbo file and click Continue. Choose the account in the QuickBooks account list and click Continue.
  4. Import Select the transactions to import, click Continue, then Yes and Done.

Intuit's limits for one upload: 350 KB per file and up to 1,000 lines.

How look-alike transactions are found

Two transactions match when they have the same date, the same amount and the same description (ignoring upper and lower case and extra spaces). The tool shows each group so you decide; nothing is removed without a tick, except copies from a second file, which are ticked for you and can be unticked. The first copy in each group is always kept, so you can’t remove a transaction completely by mistake.

Where duplicates come from

  • Overlapping downloads. January 1–31 and January 15 to February 15 share half a month. Merging or importing both files brings those weeks in twice.
  • The same file imported twice, for example an upload repeated after an error. CSV files carry no transaction IDs, and Quicken says its CSV import doesn’t check for transactions already in the account.
  • A bank feed plus a file. Intuit names importing a file that overlaps the bank feed as a cause of duplicates in QuickBooks Online. Start each file the day after the newest transaction already in QuickBooks.
  • Different IDs for the same transaction. Files converted with different tools can give the same transaction different IDs, and QuickBooks or Quicken then import it again.

Prevent duplicates next time

Keep a note of the last date you imported for each account, and download the next file from the day after. When you convert files here, the converter gives each transaction a stable ID made from its date, amount, description, memo and check number, so converting the same bank file again gives the same IDs and QuickBooks or Quicken skip the transactions they already have.

Supported banks and file layouts

QBO, QFX, OFX and QIF files from any bank

The reader handles both forms of OFX (the older SGML form used by QBO and QFX files, and the newer XML form), bank and credit card statements, and files that hold more than one account. QIF files from Quicken and other apps are read too, including Quicken's old date styles.

Any bank's CSV or Excel file

The converter finds the header row (even below bank names and account summaries), matches columns by name and by content, and handles one signed amount column, separate debit and credit columns, or an amount with a DR/CR column. Dates like 01/05/2026, 2026-01-05 and Jan 5, 2026 and amounts like (1,234.56) or 1234.56- are all read.

Common problems and fixes

Two real transactions were grouped
Equal transactions on the same day happen (two coffees, two equal transfers). Leave them unticked and both are kept.
A duplicate wasn't found
Copies must have the same date, amount and description. If the bank changed the description between downloads, the tool can't match them; check the dates where your files overlap.
The duplicates are already in QuickBooks
This tool cleans files before you import them. For transactions already in QuickBooks or Quicken, delete or exclude them there.
My files are for different accounts
Check one account at a time. Equal amounts on the same day in two accounts, such as a transfer, are not duplicates.

Frequently asked questions

Why do duplicate transactions happen?

Usually because two downloads cover overlapping dates, or the same file was imported twice. Intuit names overlapping a bank feed with an uploaded file as a common cause in QuickBooks Online.

Will QuickBooks remove duplicates for me?

QuickBooks and Quicken use each transaction's ID to skip ones they already imported, but files from different downloads can carry different IDs for the same transaction. Removing them before import avoids that.

Can I check one file on its own?

Yes. Drop a single file to see any look-alike transactions inside it. Nothing is ticked for you; you choose.

Does Quicken's CSV import skip duplicates?

No. Quicken says its CSV import doesn't check for transactions already in the account, so clean the file first and import it once.

Is anything uploaded?

No. Files are read and compared in your browser.
