How to merge QBO files

  1. Drop all the files Add the statements for one account. QBO, QFX, OFX and QIF files work, and so do bank CSV and Excel files whose columns can be matched automatically (including the known bank layouts).
  2. Check the merged list Transactions are combined in date order. Any transaction that an earlier file already has is left out, and the tool tells you how many.
  3. Choose the output and account settings QBO for QuickBooks, QFX for Quicken, or another format. Account details are taken from the first file; change them if you need to.
  4. Download one file Click Download to get a single file with every transaction once.

How to import the merged QBO file into QuickBooks

These steps follow Intuit's current help pages. Back up your company file first; Intuit notes that an import can't be undone.

QuickBooks Desktop for Windows

  1. Sign in to your Intuit account Intuit requires you to be signed in inside QuickBooks Desktop to import .qbo files.
  2. Open the import Choose Banking › Bank Feeds › Import Web Connect Files, select the .qbo file and click Open.
  3. Choose the account Choose Use an existing account if the account is already in QuickBooks, or Create a new QuickBooks account. Click Continue, then OK.
  4. Add the transactions Review them in the Bank Feeds Center and add them.

If the import fails, Intuit's fixes include switching to Classic Mode: Banking › Bank Feeds › Change Bank Feeds Mode.

QuickBooks Desktop for Mac

  1. Open the import Choose Banking › Downloaded Transactions › Import File.
  2. Pick the file Select the .qbo file.
  3. Choose the account If QuickBooks asks, pick the matching account under Store in the QuickBooks Account, then click Continue and OK.

QuickBooks Online

  1. Open Bank transactions Choose All apps › Accounting › Bank transactions. Older menus start at Banking or Transactions.
  2. Choose Upload from file Select the account's tile if you see one, open Link account and choose Upload from file.
  3. Pick the file and the account Select the .qbo file and click Continue. Choose the account in the QuickBooks account list and click Continue.
  4. Import Select the transactions to import, click Continue, then Yes and Done.

Intuit's limits for one upload: 350 KB per file and up to 1,000 lines.

Why merge statements

Bookkeepers often download one file per month, or get statements from a client in several formats. Merging them gives one file to import and one list to check, and removes the transactions that appear in two downloads because the dates overlapped.

How overlapping transactions are found

The files are read in the order you add them. A transaction from a later file is left out when an earlier file already has:

  • a transaction with the same ID (the FITID in QBO, QFX and OFX files), or
  • a transaction with the same date, amount and description (ignoring upper and lower case and extra spaces).

Copies are counted, so two equal transactions on the same day in the first file stay two, and only a third copy in a later file would be removed. The tool shows how many transactions it left out, and you can still delete or edit rows before downloading.

What the merged file contains

Every transaction once, in date order, with its original ID when the source file had one; transactions from CSV files get a stable ID made from their date, amount and description. The account details (type, number, bank ID) come from the first statement file, and you can change them in the account settings before you download.

Supported banks and file layouts

QBO, QFX, OFX and QIF files from any bank

The reader handles both forms of OFX (the older SGML form used by QBO and QFX files, and the newer XML form), bank and credit card statements, and files that hold more than one account. QIF files from Quicken and other apps are read too, including Quicken's old date styles.

Any bank's CSV or Excel file

The converter finds the header row (even below bank names and account summaries), matches columns by name and by content, and handles one signed amount column, separate debit and credit columns, or an amount with a DR/CR column. Dates like 01/05/2026, 2026-01-05 and Jan 5, 2026 and amounts like (1,234.56) or 1234.56- are all read.

Common problems and fixes

Statements for different accounts were added
Merge files for one account at a time. Transactions from a savings and a checking account would end up in one account otherwise.
The same transaction appears twice
The tool removes a transaction from a later file when an earlier file has one with the same ID, or with the same date, amount and description. If the bank changed the description between downloads, use remove duplicate transactions to review look-alikes.
Equal transactions on the same day were kept
That is on purpose. Two equal transactions inside one file are usually real (two coffees). Only copies that come from a second file are removed.
QuickBooks Online says the merged file is too big
Intuit's limits for one upload are 1,000 lines and 350 KB. Merge fewer months at a time, or use split a QBO file on the merged file.
A CSV file was not added
The tool adds a CSV or Excel file only when its columns and date format can be matched for sure. Convert that file first with the CSV to QBO converter, where you can check the columns, then add the QBO file here.

Can I merge QBO and CSV files together?

Yes, as long as the CSV's columns can be matched automatically. Otherwise convert the CSV first with the CSV to QBO converter.

Can I merge QFX files for Quicken?

Yes. Drop the QFX files in and choose QFX before you download. Quicken uses each transaction's ID to skip ones it already has.

Does merging change the transactions?

No. Each transaction keeps its date, amount, name, memo and ID. Only duplicates are left out.

How many files can I merge at once?

There is no set limit; the files are read on your device. Keep each merged file within your program's limits, such as QuickBooks Online's 1,000 lines per upload.
