How to convert a PDF bank statement to QBO

  1. Get the statement PDF from your bank Use the PDF your bank's website gives you. A scanned or photographed statement has no text in it and can't be read.
  2. Drop the PDF into the converter It reads the text of every page in your browser and finds the lines that start with a date and end with an amount.
  3. Check the columns Make sure the date, description and amount (or withdrawals and deposits) columns are right. When a statement prints amounts without signs, the converter works them out and says how.
  4. Compare with your statement Check the number of transactions, the dates and the totals against the PDF, fix or delete rows, then tick I compared these transactions with my PDF statement.
  5. Choose QBO, your bank and the account type Pick the bank shown in QuickBooks (or the widely compatible option) and checking, savings or credit card.
  6. Download the QBO file Click Download QBO file and import it into QuickBooks. The steps appear right after the download.

How to import the QBO file into QuickBooks

These steps follow Intuit's current help pages. Back up your company file first; Intuit notes that an import can't be undone.

QuickBooks Desktop for Windows

  1. Sign in to your Intuit account Intuit requires you to be signed in inside QuickBooks Desktop to import .qbo files.
  2. Open the import Choose Banking › Bank Feeds › Import Web Connect Files, select the .qbo file and click Open.
  3. Choose the account Choose Use an existing account if the account is already in QuickBooks, or Create a new QuickBooks account. Click Continue, then OK.
  4. Add the transactions Review them in the Bank Feeds Center and add them.

If the import fails, Intuit's fixes include switching to Classic Mode: Banking › Bank Feeds › Change Bank Feeds Mode.

QuickBooks Desktop for Mac

  1. Open the import Choose Banking › Downloaded Transactions › Import File.
  2. Pick the file Select the .qbo file.
  3. Choose the account If QuickBooks asks, pick the matching account under Store in the QuickBooks Account, then click Continue and OK.

QuickBooks Online

  1. Open Bank transactions Choose All apps › Accounting › Bank transactions. Older menus start at Banking or Transactions.
  2. Choose Upload from file Select the account's tile if you see one, open Link account and choose Upload from file.
  3. Pick the file and the account Select the .qbo file and click Continue. Choose the account in the QuickBooks account list and click Continue.
  4. Import Select the transactions to import, click Continue, then Yes and Done.

Intuit's limits for one upload: 350 KB per file and up to 1,000 lines.

How the PDF is read

The converter uses the text inside the PDF, the same text you can select and copy in a PDF reader. It puts the words of each page back into lines and keeps the lines that start with a date and end with one or more amounts. From there it works like a CSV file:

  • Columns. The statement’s own column headings, such as Withdrawals, Deposits and Balance, name the amount columns, so the usual column check works.
  • Years. Statements often print “01/05” without a year. The year comes from the statement period, so a December 28 transaction in a statement that ends in January gets the previous year.
  • Signs. When a statement prints every amount as a positive number, the converter works out money out from the running balance, or from headings such as “Withdrawals” or “Checks paid”, and tells you which it used.
  • Long descriptions. A second line under a description is joined to it, and a check number at the start of a line is kept as the check number.

Why you compare every transaction

A PDF is made for reading, not for software, and every bank lays out its statements differently. The converter shows exactly what it found, including the full text of the PDF line by line, and the Download button stays off until you tick I compared these transactions with my PDF statement. The quickest check is the summary bar: the number of transactions and the totals in and out should match the statement’s summary.

When a CSV is the better choice

If your bank offers a CSV or Excel download for the same dates, use it with the CSV to QBO converter: every amount and date comes straight from the bank’s data. PDF statements are most useful for older months that the bank’s download no longer covers, and for banks that only give PDFs.

Common problems and fixes

"This PDF has no text in it"
The statement is a scanned picture. Scanned statements can't be read yet. Download the transactions as CSV or Excel from your bank's website and use the CSV to QBO converter.
The PDF asks for a password
A protected PDF can't be read here. If you can open it with its password, print it to a new PDF (Print, then Save as PDF) and try that file.
Some transactions are missing
Open Text found in the PDF under the file name to see every line that was read. Lines that don't start with a date and end with an amount are left out. If a layout doesn't work, the bank's CSV download is the reliable route.
The dates have the wrong year
When a statement prints dates without a year, the converter takes the year from the statement period, and December dates in a January statement get the year before. Check the dates in the table; the note above it says which year was used.
Money in and money out are the wrong way round
For credit card statements that list purchases as positive numbers, turn on Flip signs. A $50 purchase should show as −50.00.
Balances or totals show up as transactions
Lines such as "Beginning balance" and "Total" are skipped automatically. If one slips through, delete it in the table before you download.
